Background to vacancy/ What is the purpose of the job? What do you need to achieve?
You will co-ordinate the provision of Soft Facilities at CD, working with soft facilities stakeholders both on and off site to maintain and enhance relationships for the cleaning, security, catering, reception and admin support functions. You will also provide administrative support to the Engineering Department.
Your key roles and responsibilities will be:
� Complete administration for the Engineering & Facilities team as required
� Support the Engineering Training & Planning Manager to plan inductions and training, including room bookings and maintaining training records
� Maintain holiday records for the Engineering & Facilities teams.
� Provide reception cover as required, for breaks and holidays
� Collate up to date paperwork and compile reports as required, including compliance information
� Manage office furniture procurement; negotiating with suppliers, ensuring cost efficiency is achieved in line with DSE requirements.
� Co-ordinate office space as required plus coordinating office moves.
� Coordinate and manage site ad hoc events as required including charity events and other events to drive employee engagement.
� Act as an ambassador of Plan A namely Travel, Recycling and Shwopping
� Travel Plan management and delivery, to ensure the site is legal and compliant with contractual obligations, in agreement with the developers and County Council and aligned with Plan A travel commitments.
� Raise and track facilities and engineering purchase orders and approving receipt of goods with Finance.
� Complete soft facilities audits in line with contracts and work with providers to make improvements.



Technical skills/business skills required
� Good written and verbal communication skills
� Experience with Microsoft Office, including Word, Excel, Powerpoint and Outlook
� Able to use SAP (Purchasing System)
� Able to manage competing priorities
� Good attention to detail
� Strong organisational skills and ability to plan autonomously.
� Awareness of facilities management function
� Stakeholder management � good interaction with all levels
